About the Role

As a Personal Assistant, you will provide comprehensive support across both professional and personal matters, ensuring the smooth running of the executive’s business and, mostly, private life. This role requires exceptional organizational skills, discretion, and the ability to anticipate needs while handling a wide range of tasks—from managing diaries and business communication to coordinating household, travel, and lifestyle arrangements.

Key Responsibilities

  • Manage CEO calendar, appointments, meetings, and travel (domestic & international).

  • Screen and prioritize emails, calls, and correspondence.

  • Coordinate with staff, and external stakeholders if and when needed.

  • Track key deadlines, follow up on commitments, and ensure the executive is well-prepared.

  • Manage personal diary, family events, and special occasions.

  • Organize travel itineraries for both business and personal trips.

  • Oversee personal errands such as shopping, reservations, pet caring and household arrangements.

  • Coordinate with service providers (household staff, contractors for building management, suppliers, etc.).

  • Assist with personal expense tracking, bill payments, reimbursements.

  • Support personal event planning (dinners, holidays, family gatherings).

  • Ensure sensitive personal information is handled with absolute confidentiality.

What We’re Looking For

  • Proven experience as a Personal Assistant, Executive Assistant, or Lifestyle Manager.

  • Excellent multitasking, organizational, and time-management skills.

  • Strong written and verbal communication in English and Portuguese.

  • Tech-savvy: proficient with MS Office, Google Workspace, and scheduling tools.

  • Ability to adapt quickly and remain calm under pressure.

  • Trustworthy, discreet, and proactive.

  • Valid driver’s license and flexibility to travel (optional, depending on role).

  • Experience supporting high-profile individuals or families.

  • Ability to work irregular hours when needed.

  • Strong interpersonal skills with a polished, professional demeanor.

  • A solutions-oriented, “can-do” mindset.
